CITY GUIDE

Las Vegas trade show planning
A city-level starting point for Las Vegas exhibitors: identify the actual venue and hall, map the campus, then align freight, services, staffing, and travel to the current show manual.
THE SETTING
Start with the actual venue, not a search result.
Las Vegas is a high-volume convention market with a large multi-hall convention campus, extensive hotel supply, and several major event venues. For exhibitors, the practical work starts with identifying the actual hall and service contractor, then aligning freight, installation, internet, catering, badges, parking, and labor arrangements to the current show manual. The Las Vegas Convention Center is operated by LVCVA and is a useful orientation anchor, but one venue’s rules should never be applied to another.
ON THE GROUND
Turn city logistics into a booth operations plan.
Build the service plan from the current organizer and official-contractor manual, not from generic Las Vegas assumptions. Official LVCC information identifies Cox Business for telephone, internet, wireless, and data-network services, and Sodexo for food and beverage. FedEx Office locations support printing and shipping, while a Convention Services Manager is assigned to each LVCC event. Confirm contractor permissions, badges, rigging, utilities, material handling, storage, insurance, and outbound freight instructions in writing.
BEFORE YOU SHIP
Use the current event manual as the final word.
Treat access as a campus-navigation exercise. Map hotel, airport transfer, venue entrance, registration point, booth hall, loading route, and daily staff transport separately; a short city distance does not guarantee a short dock or walking route. LVCVA links facility, accessibility, and freight maps plus Vegas Loop and Monorail planning resources. Recheck maps and transport operations immediately before arrival because construction, event traffic, and schedules can change.
EXHIBITOR CHECK
- LVCVA owns and operates the 4.6-million-square-foot Las Vegas Convention Center, with approximately 2.9 million square feet of exhibit space.
- Official LVCC materials link facility, accessibility, and freight roll-up-door maps, plus Vegas Loop and Monorail resources.
- The official destination calendar warns that event details can change and directs users to individual shows and venues for confirmation.
COSTS & TIMING
Model the full project, not the booth line item.
Create a budget with separate lines for exhibit fabrication, graphics, freight, material handling, labor, electrical, internet, catering, cleaning, shipping, travel, hotel rooms, parking, storage, and contingency. Official facility rate sheets do not replace a current event’s order forms or deadlines. Start with the show manual, reserve services before published discount cutoffs, and work backward from design approval to freight dispatch and staff travel. Confirm every rate, deadline, and cancellation term with the current organizer or contractor.
SOURCES & VERIFICATION
Start with the primary record.
We use official venue, city, destination, and organizer resources for orientation. The most current event manual and designated service-contractor materials control the work.
